How we handle player and website data
How we handle player and website data
This notice explains how GAMEPLEX Limited collects, uses, stores and shares personal information across gameplex.co.uk and every Minecraft server, webstore, Discord community and related service that GAMEPLEX operates. It is written for players, website visitors, store customers and people who contact us. It is not limited to a single gamemode or a single creator network.
The data controller is:
GAMEPLEX Limited
Company number 17105463
Registered office: 21 Falkirk Avenue, Widnes, England, WA8 9DX
Privacy contact: [email protected]
In this notice, “GAMEPLEX”, “we”, “us” and “our” mean GAMEPLEX Limited. “You” means anyone who joins a GAMEPLEX-operated server, visits our websites, uses a linked store, joins a linked Discord, or otherwise uses our services. “Personal information” means information that identifies you, or could reasonably be used to identify you, such as a name, email address, Minecraft account identifier, IP address or Discord ID.
We have not appointed a statutory data protection officer. Privacy requests and concerns should be sent to the email above. Please put “Privacy request” or “Privacy concern” in the subject line and describe what you are asking us to do.
It applies to all of the following, wherever GAMEPLEX is the operator:
A creator may direct the vision of a gamemode. That does not change who controls player data on a server we operate. Where a third-party site, payment page or platform has its own privacy notice, that notice also applies to what they do with your information.
We only collect what we need to run, secure and moderate the services.
When you connect to a GAMEPLEX-operated server, we automatically receive technical details needed to let you in and keep the network stable. That includes your Minecraft UUID and your IP address. We may also keep related session details such as join and leave times, gamemode, and moderation events tied to that account.
If you play a mode that has voice chat and you allow microphone access, we may record heavily encrypted voice logs for moderation. These logs are not kept for players who switch voice privacy to “Friends and party members”. The default setting is “Everyone”. Voice on the private setting is not logged.
If you join a GAMEPLEX Discord or link your accounts, we collect your Discord ID and information you choose to give us, such as your Minecraft username, so the accounts can be matched.
Purchases of in-game items are processed by our store provider, Tebex. When you buy something, Tebex collects the details you submit, which can include your name, email address, payment details, country, postcode and Minecraft username. We receive what we need to deliver the purchase and deal with support. We do not store full card numbers on GAMEPLEX systems.
Our websites use cookies and web beacons to remember basic preferences, understand how pages are used, and keep the site working properly.
If you email us, submit a partner or support form, or open a ticket, we keep the content of that message and the contact details you include so we can reply and keep a record of the request.
We use personal information for the reasons below. The table sets out the UK GDPR lawful basis we rely on for each reason.
| Reason | Lawful basis |
|---|---|
| Letting you join servers, link accounts, receive purchased items and use related features. | Contract — it is necessary to provide the service you have asked to use. |
| Technical support, diagnosing connection problems and answering tickets. | Legitimate interests — running a reliable service. Contract, where the request relates to a purchase or account. |
| Moderating chat and voice, enforcing rules, and protecting players and staff. | Legitimate interests — keeping a safe community. Legal obligation, where the law requires us to act. |
| Protecting servers from attacks, abuse and fraud, including DDoS mitigation. | Legitimate interests — securing the network. |
| Understanding site and server usage so we can improve performance. | Legitimate interests for essential measurement. Consent, where a non-essential analytics cookie requires it. |
| Keeping tax, accounting and transaction records for store sales. | Legal obligation. |
| Responding to lawful requests from courts, regulators or law enforcement. | Legal obligation, or legitimate interests where disclosure is permitted to protect rights and safety. |
Where we rely on legitimate interests, we balance those interests against your rights. You can object, as described below. We do not use your information to make solely automated decisions that have a legal or similarly significant effect on you. We do not sell personal information.
Voice logging exists so staff can review reports and uphold community rules. A log is created only if both of these are true: the mode has voice chat, and you have allowed microphone access while set to the public voice option.
You can avoid voice logging by not enabling your microphone, or by using the friends-and-party setting where that option is offered.
Cookies are small text files placed on your device. Web beacons are similar tools that help us see whether a page or message was loaded. We use them to keep the site usable, remember choices, see aggregate traffic patterns and improve how pages and servers perform.
Strictly necessary cookies are set because the site cannot function properly without them. Where a cookie is not essential, we will ask for consent before it is set, and you can refuse or withdraw that consent. You can also block or delete cookies in your browser. Blocking essential cookies may stop parts of the site from working.
We do not pass personal information to third parties for their own marketing. We share it only where it is needed for a clear operational reason:
Creator partners do not receive a general export of player personal information. They may see in-game names and public play activity as part of operating a gamemode, in the same way staff and other players can see that activity on the server.
Play, account-link and moderation records are kept in an encrypted cloud database, with access limited to people who need it for their role. We use access controls and encryption to reduce the risk of unauthorised access, loss or alteration. No online service can be guaranteed as perfectly secure.
We keep personal information only for as long as we need it for the reason it was collected, or for as long as the law requires. In practice:
When information is no longer needed, we delete it or anonymise it.
Some providers we use, including hosting, security, store and Discord services, may process information outside the United Kingdom. Where that happens, we put in place a safeguard required by UK data protection law, such as an adequacy regulation or the UK International Data Transfer Addendum to the EU standard contractual clauses. You can ask us for a summary of those safeguards.
GAMEPLEX-operated servers are open to a general audience. Players under 18 may join and may buy items. Anyone under 18 should ask a parent or guardian before making a purchase or sharing personal information. If you are a parent or guardian and believe your child has given us personal information, email [email protected] with the subject “Privacy request” and we will help you review or remove it, subject to records we must keep by law.
We do not knowingly build marketing profiles of children, and we do not sell children’s information.
Under the UK GDPR and the Data Protection Act 2018, you can ask us to:
To use any of these rights, email [email protected]. Include “Privacy request” in the subject, the Minecraft username or UUID involved, and what you want us to do. We may ask for information that lets us confirm the account is yours. We aim to respond within one month. That period can be extended by up to two further months for complex requests, and we will tell you if that happens.
You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection: ico.org.uk/make-a-complaint, or Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF. We would appreciate the chance to deal with your concern first.
You can browse most of gameplex.co.uk without giving us your name. Joining a server requires a Minecraft account, and we will receive the UUID and IP address that connection produces. Without those details we cannot authenticate the session. A store purchase cannot be completed or delivered if the checkout details are not provided to Tebex.
We may revise this notice when our services, providers or legal duties change. The new version will be posted on this page with an updated date. If a change materially affects how we use information already collected, we will take extra steps to draw it to your attention where that is practicable. Please check this page from time to time.
